Implementing AR Dunning Plans at TFI — Soft, Medium and Final Notices
The Opportunity

Overview

TFI International Inc is a North American leader in transportation and logistics, operating across the US, Canada and Mexico. It provides transportation and logistics services including package and courier, truckload, less-than-truckload, freight forwarding, transportation management and brokerage services.

The Challenge

Problem

Long-term invoices and specific customer invoices needed to be excluded from the due date calculation, even though they would normally fall under the current invoices category. With no real-time collector monitoring delinquent customer information, all calculations and communications had to be fully automated.

The core issues were:
Manual
no real-time collector monitoring of delinquent accounts

The main business requirement was to gain visibility and control over overdue invoices by reaching out to customers via email. The process needed to automatically send dunning notices based on the age of the overdue invoice, serving as soft, medium and final dunning letters. The business also required monthly customer statements for one of its business units, with the company logo on both.

The Solution

Approach

TFI engaged Winfo Solutions to implement Dunning Letters and Customer Statements tailored to their requirements. The project, which began in January 2024, addressed custom needs including personalised dunning letters, statement cycles, a new collector and profile class, and linking these to all customer accounts.

The solution included:

New dunning plans were configured with specific content developed for the soft, medium and final versions. A single template was used to generate different company logos for TFI on the customer statements, which required specific logic to be embedded in the template to meet the requirement.

The Impact

Outcome

Winfo successfully implemented dunning letters and customer statements, helping TFI streamline their AR process through meticulous planning, proactive communication and effective client engagement throughout the project.

The results included:
1
week ahead of the planned GO LIVE
3
notice levels automated — soft, medium and final
Visibility and control over overdue invoices without manual collector monitoring

The team’s efficiency led to the project being completed one week ahead of the planned GO LIVE date.
